What is the ViewShaper cancellation policy?

On ViewShaper, photographers/videographers set their personal cancellation policies based on the terms they’re most comfortable with. The terms vary depending on the amount of time before the check in/shooting day. You’ll find cancellation details on the profiles of the photographer/videographer you want to book. You’ll also be able to review the cancellation policy again before you book. After you book, you’ll see the details on your Upcoming Shootings page. Photographers/videographers choose from several standardized cancellation policies that we enforce to protect both photographers/videographers and users. Available policies include Flexible, Moderate, and Strict.

A few things to know:

  • The service fee is always refunded if you cancel.

  • ViewShaper always applies a $20 cancellation penalty fee for cancelled bookings. If the service fee is under $20, the amount of the cancellation penalty fee will be the same as the service fee.

What if I need to cancel because of an emergency or unavoidable circumstance?

We may be able to give you a refund and/or waive the cancellation penalties if you have to cancel because of a circumstance that’s out of your control. Below is a list of circumstances covered by our Unavoidable Circumstances Policy. Before you cancel, check that your circumstance is included in the list below and that you can provide the required documentation. It’s important to keep in mind that penalty-free cancellations are only available for unavoidable circumstances that occur before the official shooting date for your booking.

Circumstances that require documentation

Death.You’ll be asked to provide one of these documents:

  • Death certificate

  • Obituary

  • News article naming the deceased

  • Police report

Unexpected serious illness or injury.The statement must be also dated after the shooting was booked and provided within 14 days of cancellation. At this time, pre-existing conditions known to the user at the time of booking are not covered by our Unavoidable Circumstances Policy.

Government-mandated obligations including jury duty, travel restrictions, court appearances, and military deployment. You'll be asked to provide a copy of the official notice dated after the shooting was booked, including the name of the person fulfilling the obligation.

Transportation disruptionsthat make it impossible to travel to your destination, including road closures and flight cancellations where there are no alternative methods of travel. This includes closures and cancellations caused by natural disasters, such as earthquakes or severe storms. You’ll be asked to provide a notice of the road closure, or documentation from the airline that the flight was canceled and supporting documentation confirming that it's not possible to travel to your destination.

Train, bus, or ferry cancellations where no alternate trips were available on the same day. You’ll be asked to provide documentation that clearly shows the carrier was not operating on that day, such as a screenshot of the company’s website or a link to an official statement from the carrier.

What to do next?

If you’ve confirmed your circumstance meets the requirements above, first cancel your booking. If your booking falls under a recognized unavoidable circumstance, you’ll be notified that your booking qualifies for a penalty-free cancellation, and you’ll get a full refund. If your booking doesn't qualify automatically, contact us to file a claim. We’ll walk you through the next steps, which will include submitting any required documentation and waiting for our team to review your case. Claims must be submitted within 14 days of cancellation.

How do I cancel my booking for a shooting?

How to cancel

You can cancel a booking any time before your shooting. To cancel a booking:

  1. Go to Upcoming shootings and find the booking you want to cancel

  2. Click See the project

  3. Click Cancel this project

You’ll be taken through the cancellation process, where you can find out what your options are, including how much your refund will be, and review your cancellation before you submit it.

How it works

If you cancel, your refund is determined by your photographer/videographer’s cancellation policy. We'll show your refund breakdown before you confirm your cancellation. ViewShaper refunds the service fee minus the cancellation penalty fee on the credit/debit card or PayPal account used for the booking.

Can I cancel a booking I made accidentally?

ViewShaper's cancellation policies don't cover accidental bookings. Even if you booked a photographer/videographer accidentally, you'll be still subject to the cancellation policy your photographer/videographer chooses for their listing.

What happens if my photographer/videographer cancels my booking?

If your booking is canceled by your photographer/videographer, we'll automatically give you a full refund visible on your account in the next 3 to 10 business days. You'll receive an email confirming the full refund. You can always contact us if you need further help.

What should I do if my photographer/videographer needs to cancel?

If your photographer/videographer lets you know that they can’t provide the photo/video service anymore, don’t cancel for them. If you cancel, you may not be eligible for a full refund depending on the photographer/videographer’s cancellation policy. Instead, send your photographer/videographer a cancellation request by message to make sure you receive a full refund or contact us directly.

As a photographer/videographer, what penalties apply if I cancel a booking?

Because cancellations disrupt users’ plans and impact confidence in the ViewShaper community, the following penalties are applied for photographers/videographers cancellations.

Automated review

If you cancel before the day of shooting, an automated review will be posted to your listing's profile indicating that you canceled one of your bookings. These reviews can't be removed. “[YOUR NAME] has cancelled a shooting. This is an automatic review”

Account suspension

If you cancel 3 bookings (not within 24h after the booking), we may deactivate your profile. Unless there are unavoidable circumstances, there will be no exceptions to our cancellation policy.

How do I cancel a booking as a photographer /videographer?

To cancel a booking :

  1. Go to yourUpcoming shootings and find the booking you want to cancel

  2. Click See the project

  3. Click Cancel this project

What happens if my user cancels?

If your user cancels their booking, we’ll notify you and automatically unblock the dates on your calendar so that you can offer your services to other users. You might receive a payout based on the cancellation policy you have chosen.

Cancellation payouts

We may hold the payout for release until 30 days after the cancellation was confirmed.

Users refunds

Users who cancel are automatically refunded according to your cancellation policy—unless the cancellation qualifies as an unavoidable circumstance.

For USERS who want to CHANGE their booking

How do I change a booking?

If you'd like to make a change to a confirmed booking, you can submit a change request to your photographer/videographer. The only changes you are allowed to do concern the length and the date/time of your shooting.

To submit a change request:

  1. Go to your Upcoming or Ongoing shootings and choose your booking

  2. Click See the project

  3. Click Request for a change

  4. Change the date and time of your shooting or/and extend the length of the shooting time

  5. Click Send your request

If the photographer/videographer accepts your request, your booking will be updated and you’ll be charged if necessary. If the request is declined or you don’t receive a response, your booking will stay the same.

Here are a few other things to know about submitting change requests:

  • If your booking has already ended, you won't be able to change it.

  • If the photographer/videographer altered their pricing for the new dates before you requested the change, your new reservation will reflect this pricing.

  • If your booking qualified for a price discount, changing the booking dates may affect whether or not you're still eligible for the discounted rate.

Can I change/extend my booking during the shooting?

If your shooting has started and you want to extend the length of your booking, you can submit a change/extend request to your photographer/videographer for their approval.

To submit a change request:

  1. Go to your Ongoing shootings and choose your booking

  2. Click See the project

  3. Click Request for a change

  4. Extend the duration of the shooting time

  5. Click Send your request

If your photographer/videographer accepts the change request, your booking will be updated, and you’ll be charged as necessary. If the request is declined or you don’t receive a response, your booking will stay the same.

For PHOTO/VIDEOGRAPHERS who want to CHANGE their booking

As a photographer/videographer, how do I make a change to a confirmed booking?

If you need to make a change to a confirmed booking, you can submit a change request to your user. You can request to change the dates and times of the shooting.

  1. Go to your Upcoming shootings and choose your booking

  2. Click See the project

  3. Click Request for a change

  4. Propose your new date/time

  5. Click Send your request

If the user accepts your request, the booking will be updated. If the request is declined or you don’t receive a response, the reservation will stay the same.

There are a few other things to know about submitting change requests:

  • Your chosen cancellation policy will apply based on the new dates.

  • If the dates of the booking have already passed, you can’t make any changes.

  • Make sure that the changes you're requesting or accepting don't conflict with your listing's current settings.
